Associate Learning Program Manager

Role summary

We are looking for an Associate Learning Program Manager to support the planning, coordination, and delivery of complex leadership-development programs for public-sector and broader-enterprise clients.

This is a project-based associate opportunity for someone who is highly organized, calm under pressure, client-ready, and comfortable managing the many moving parts that sit behind a strong learning experience: timelines, materials, stakeholders, facilitators, producers, learner communications, deliverables, evaluation cycles, and issue resolution.

This is not a traditional full-time employment role. It is an opportunity to join The Collectv’s trusted associate bench for upcoming and future client work.

Responsibilities

The Associate Learning Program Manager may support work such as:

  • Lead or co-lead project planning for leadership-development programs, including workplans, timelines, deliverable trackers, risk logs, meeting cadences, and implementation plans.

  • Manage program delivery logistics across virtual, in-person, and blended learning experiences.

  • Coordinate milestones, dependencies, review cycles, and approvals across instructional designers, facilitators, producers, client stakeholders, and external partners.

  • Support cohort planning, session scheduling, materials readiness, participant communications, calendar coordination, attendance tracking, and follow-up activities.

  • Maintain clear version control for facilitator guides, participant materials, slide decks, job aids, pre-work, post-work, and client-facing documents.

  • Track deliverables against client expectations and help ensure materials are ready, accurate, accessible, and submitted on time.

  • Prepare meeting agendas, project updates, decision logs, status summaries, and action-item follow-ups.

  • Support evaluation administration, including survey coordination, feedback summaries, attendance reporting, and basic program insights.

  • Coordinate with coaching providers, simulation partners, guest speakers, producers, accessibility reviewers, and other external contributors where needed.

  • Anticipate delivery risks, flag issues early, and help the Program Lead resolve them quickly and professionally.

  • Help create a smooth, polished client and learner experience from planning through delivery and closeout.

  • Use AI responsibly to support organization, summarization, tracking, and drafting while protecting confidentiality, accuracy, and client trust.

Required qualifications

  • 6+ years of project management, program management, learning operations, or client delivery experience.

  • Demonstrated experience supporting learning, leadership development, talent, HR, organizational development, consulting, or professional-services projects.

  • Strong ability to manage timelines, dependencies, risks, stakeholders, meetings, and deliverables in a fast-moving environment.

  • Excellent written and verbal communication skills, including the ability to produce clear client-ready updates and follow-ups.

  • Strong comfort with Microsoft 365 tools, including Outlook, Teams, Word, PowerPoint, Excel, and SharePoint or OneDrive.

  • Experience managing multiple reviewers, version control, and approval cycles.

  • High attention to detail without losing sight of the bigger picture.

  • Ability to work independently while staying closely aligned with the Program Lead and broader project team.

  • Comfort working as an independent contractor with your own business presence and tools.

  • Willingness to be named in proposals if mutually agreed.

Desired qualifications

  • Experience supporting leadership-development programs, cohort-based learning journeys, executive education, or large-scale facilitated programs.

  • Experience working with instructional designers, facilitators, executive coaches, simulation partners, producers, or external SMEs.

  • Experience with Ontario public sector, broader public sector, federal, municipal, Crown corporation, or similarly regulated environments.

  • Familiarity with accessibility requirements, inclusive learning practices, and AODA-informed document and delivery expectations.

  • Familiarity with evaluation processes, learner feedback surveys, attendance reporting, and post-program reporting.

  • Experience with tools such as Smartsheet, Asana, Monday.com, Trello, Miro, Zoom, LMS platforms, CRM systems, or survey tools.

  • PMP, CAPM, Agile, Prosci, change management, HR, L&D, or adult-learning credentials are assets.

  • French-language capability is an asset.

Sample day or week

A typical week might include meeting with the Program Lead to review upcoming milestones, updating the project plan, coordinating material review deadlines with an instructional designer, confirming delivery logistics with a facilitator and producer, preparing a client status update, tracking evaluation responses, following up on outstanding decisions, and flagging risks before they become delivery issues.

The right person for this role enjoys bringing order to complexity and takes pride in making the client experience feel seamless.

Engagement type

This is a project-based associate opportunity. It is not a full-time employment role and does not guarantee immediate assignment or minimum hours.

Work is expected to be primarily remote, with possible occasional in-person meetings or delivery support depending on client needs.
